Privacy Policy

Information We Collect

• Account information: Your name, email address, password (held by our authentication provider), and language preference. If you choose to receive text messages, your mobile number and a record of your consent, including the time, IP address and device used.
• Study participation: Which study and research site you are connected to, the access code you used, your enrollment and consent dates, and where you are in the study, including if you are only considering joining. Your onboarding answers, such as how prepared you feel, what would help you feel more confident, and whether you have a caregiver. Visits and check-ins you record.
• Your questions and messages: The questions you ask, stored as you write them, and the answers we generate. Questions you send to your study team, messages you exchange with them, and feedback you give on answers. If something you write may signal a safety concern, we flag it for your study team. They may not see it right away, so do not use Clear Trials to get urgent help.
• Activity: Which documents and guides you open, when you use the app, and what you search for.
• People you invite: The name, email address and relationship of anyone you share your study information with, and when they open it.
• Notes from your study team: Study staff can record notes and call logs about their contact with you.
• Study documents: Documents are provided by your study team. We store them and the plain-language versions we generate from them.
• Technical information: Our hosting and error-monitoring providers keep logs that can include your IP address, browser details and the pages you request. On this website we use Vercel Analytics, which counts visits without cookies.

Who Can See Your Information

We do not sell your personal information, and we do not use it for advertising.

• Your study team at your research site: When you join through your research site, study staff there see your information individually and by name. That includes your name, email address and access code, your enrollment details, the questions you ask (including ones you remove from your own list), your messages, which documents and guides you open, your onboarding answers, whether you have a caregiver, and any safety concerns flagged from what you write. They do not see your private visit question list, the names or email addresses of people you invite, or the answers we give you, except for questions you send to them.
• If you use Clear Trials on your own: If you sign up without a research site, no research site sees your information. The Clear Trials team can see it to operate and support the service.
• The study's sponsor or CRO, through study reports: Your study team, or our team on their behalf, can prepare reports about the study. Reports do not include the name or email address from your account. They include totals, the topics participants ask about with example questions exactly as participants wrote them, and, for participants who may need extra support, a short study ID, the date they were last active, and the reasons they were flagged. Because questions are included as written, anything you type into a question, such as a name or a detail about your health, could appear in a report.
• People you invite: Anyone you share your study information with sees your name and your study information, such as your study documents and plain-language summaries, guides, and study contacts, read-only. They do not see your questions, messages or onboarding answers. Anyone who has the link can use it until it expires or you turn it off, which you can do at any time.
• The Clear Trials team: Our team can access your information to operate and support the service. When we are your study's point of contact, we also receive the questions you send to us.
• Service providers: Companies that run parts of the service for us:
  • Supabase: database and sign-in
  • Vercel: application hosting
  • Amazon Web Services: document storage and processing, email, and search indexing of your questions
  • Anthropic: AI that generates answers to your questions and checks what you write for safety concerns. We are moving this processing to Amazon Web Services.
  • Sentry: error monitoring, which can capture technical details, and sometimes text on the screen, when something goes wrong
  • Twilio: text messages, only if you choose to receive them. We do not share your mobile number or text-message consent with anyone for their marketing; Twilio receives your number only to deliver our messages.
  • Upstash: protection against excessive requests, using your IP address

  If you search for studies, your search terms are sent to ClinicalTrials.gov.

• When required by law: To comply with legal obligations.
• If our company changes hands: If Clear Trials Solutions, Inc. is involved in a merger, acquisition or sale of assets, your information may be transferred as part of it. This policy, and any Business Associate Agreement, will continue to apply to it.

Data Security

Your information is encrypted in transit and, by our database and storage providers, at rest. Access checks in our application and row-level security in our database limit each record to the people allowed to see it. Changes to core records are written to an append-only audit log.

Data Retention

We keep your information until you, or your study team, ask us to delete it. We do not currently delete it automatically when a study ends.

Our audit log records changes to core records, such as your enrollment and any shares you create. Entries can include your name and email address, and the names and email addresses of people you invited. We keep it for 7 years, including after a deletion request. Emails already sent to your study team stay with them.

Changes to This Policy

When we change this policy, we post the new version here and update the date at the top of this page. If a change materially affects how we use or share information we already have about you, we will tell you by email or in the app before it takes effect, and ask for your consent where the law requires it.
